Board Zone: Tutorial | Shop | Offline Payments
At the time of writing this tutorial, the Board encourages all AAAP purchases (eg. membership, event tickets and recordings) to be made online via the AAAP website wherever possible.
Reasons for this include:
- Security: Online credit card payments and Paypal are processed using highly secure technology.
- Gatekeeping: AAAP event tickets and recordings are available exclusively to AAAP members and the AAAP Shop is designed to recognise the membership status of each potential customer when they log into the site. Non-members are limited to purchasing membership only.
- Accurate Records: Ensures each member’s purchase history is saved in the one location. For professional members this is useful for keeping accurate records of their Continuing Education participation.
- Automation: The AAAP has an ongoing focus to automate tasks where possible so the Board’s time can be better spent on new projects and initiatives providing greater benefit to members and the organization.
However, the Board recognises the importance of offering alternative payment terms so the AAAP can remain accessible to all. These payments require some extra steps, as outlined below.
Before accepting the purchase: Check customer's membership status; AAAP products are exclusive to members so if the customer isn’t a current member they will need to purchase membership as part of the transaction.
Once purchase is complete: Cash must be deposited as soon as practical and without deduction into the association's bank account (Constitution 5.35.2). Also, Treasurer / nominated representative must manually create an order in Shopify under the customer’s profile and send the customer their receipt. Go to Shopify Dashboard > Orders > Create Order > enter order details under customer’s usual member profile including details of cash payment in ‘Notes’ section > Save
